1. Data Provision and Updates:

    Organisations are responsible for providing their own accurate data on registration and are responsible for notifying Volunteering Queensland of any changes to their details, and updating their details annually if requested.

    2. Use of VIO Register Infographic:

    Registered organisations may use the Volunteering Queensland “Registered Volunteer Involving Organisation” graphic element provided to them and the term “Registered Volunteer Involving Organisation with Volunteering Queensland” to indicate their registration status on their website, printed materials and social media.

    Registration as a Volunteer Involving Organisation, and use of the graphic element does not imply endorsement, partnership, affiliation, funding, or representation by Volunteering Queensland.

    3. Liability:

    Volunteering Queensland is not responsible, accountable, nor liable for the activities and actions of registered organisations and their staff, nor their management of and interactions with volunteers.

    Registered organisations agree to indemnify Volunteering Queensland against any claims and/or liabilities from the registered organisation’s activities and/or interactions with volunteers.

    4. Data Consent:

    Registered organisations consent to Volunteering Queensland retaining their data and collating it for statistical, reporting, marketing, sector needs assessments, and sector advocacy, purposes.

    Volunteering Queensland will maintain the security and privacy of Register data inline with data privacy legislation.

    Volunteering Queensland will not onsell Register data, nor provide identified registrant data without the organisation’s consent (with the exception of disaster activity as per section 5).

    Volunteering Queensland may use aggregated and de-identified data to provide general statistics and information about the volunteering sector to the government, the sector and the general public.

    5. Disaster Coordination:

    Organisations consent to their contact details being shared by Volunteering Queensland, in it’s disaster response capacity, with local councils or state government departments during disaster events and recovery activities for coordination and communication purposes where the organisation might reasonably be expected to be interested in being contacted to assist.

    6. Communications and Marketing:

    Organisations consent to receiving registration related communications and regular general communications and marketing updates from Volunteering Queensland on (but not limited to) the volunteering sector, training opportunities, professional development, funding opportunities, sector surveys, consultation processes, and regional volunteering activities.

    Volunteer Queensland may, at its discretion, include pro bono or paid advertising in their communications, where that advertising is clearly identified as advertising and is reasonably linked to the volunteering sector.

    Organisations may opt-out of marketing and general communications by unsubscribing from those emails at the bottom of the email, but consent to continuing to receive registration related communications whilst they remain registered.

    7. Eligibility:

    Registration is open to any organisation or community group that engages with volunteers in some capacity, has insurance cover in place for those volunteers, and is in alignment with the intent of the National Standards for Volunteer Involving Organisations.

    8. Removal from Register:

    Organisations wishing to be removed from the register must follow the instructions provided on the Registration webpage. Their registration record will be marked as removed and they will receive no further communication from Volunteering Queensland. They must cease to use the Register graphic

    and remove all instances of the graphic and wording from their online and printed materials.

    The details of registered organisations who have been removed from the register will be kept on file for a further 7 years under the Volunteering Queensland records retention policy.

    Volunteering Queensland reserves the right to remove any organisation from the register if it determines the organisation does not meet the eligibility criteria, brings the register or Volunteering Queensland into disrepute, or has not responded to reasonable attempts to provide updated details.

    9. Ownership and Funding:

    The register is the property of Volunteering Queensland.

    The on-going continuation of the register is contingent on ongoing funding of Volunteering Queensland.

    10. Membership Status:

    Registration does not confer full membership with Volunteering Queensland. This must be separately applied for if the organisation chooses to do so. Current members of Volunteering Queensland are eligible to register.

    In the future Associate Membership (or any other membership term determined by Volunteering Queensland) may be extended to registered organisations as a benefit, at the discretion of Volunteering Queensland.

    Volunteering Queensland reserves the right to change membership benefits and conditions at any time, and will notify registered organisations when this happens.

    11. Best practice volunteer management

    Your organisation agrees to comply with the Code of practice for organisations involving volunteersand to have due regard (as far as is practicable) to the National Standards for Volunteer Involvement. 

          12. Insurance

          An organisation registering agrees that it is an independent organisation responsible for its own actions, including maintenance of both Public Liability and Volunteer Personal Accident insurances. 

          The organisation will effect and keep current Public Liability Insurance and Personal Accident Insurance for volunteer workers. If uninsured, the organisation agrees that all volunteers accessing information on Volunteering Queensland’s website will be advised that this organisation does not maintain Public Liability and/or Personal Accident Insurance for volunteer workers and that the volunteer would be engaging with this organisation at their own risk. 

          Volunteering Queensland reserves the right to request registered organisations produce evidence of required insurances at any time. In addition, organisations agree to immediately inform Volunteering Queensland of any changes in the status of required insurance coverage and update your organisation’s insurance policy information.
